How to Order the Right Truck Parts: Our 4-Step Confirmation Process

Ordering the wrong spare part costs everyone time: a week of shipping, a machine standing still, and a second order. That is why we do not treat an inquiry as a simple price request — every order goes through a confirmation process before we quote and ship.

Below are the four methods we use to confirm exactly which part you need, listed from the fastest to the last resort. In most cases, step 1 alone is enough.

Method 1 — Part Number or Clear Photos (works for ~80% of inquiries)

The part number is the most reliable identifier in the industry. It is usually a combination of letters and numbers, and you can find it on:

  • the surface of the old part itself (cast, stamped or etched)
  • the packaging box or label
  • the parts catalogue / content book of your machine
  • a quotation list from your local distributor

Every spare part has a unique part number, and it removes almost all guesswork — so if you can find it, send it first.

No number readable? A clear photo of the complete unit — like this gear pump — works too: keep the label, shaft and mounting face all visible.

Tip: no part number? Send 2–3 clear photos instead: one overall shot, one close-up of any numbers or logos, and one of the mounting side. Daylight, no flash, and a coin or ruler in frame helps us judge size.

Method 2 — Vehicle Information

If the part number is unavailable (common with dealer-only items or worn-away markings), we search our system using your machine data:

  • engine nameplate details (model, serial number)
  • assembly / transmission nameplate
  • VIN or chassis number
  • machine model and year

With these we trace the original bill of materials and propose the matching part. If two variants fit the same model, we will tell you which one applies to your serial range.

Method 3 — Measuring the Old Part

When neither the number nor the vehicle data can identify the part, we measure. You send us the dimensions of the part being replaced, and we match them against factory specifications. Typical dimensions we ask for:

Method 4 — Drawing or Physical Sample

This is the route for rare items, discontinued parts, or components that have to be specially manufactured. Send us a dimensional drawing — or, for complex hydraulic parts, a physical sample — and our factory produces to match. This takes longer and costs more, so we only go here when the first three methods genuinely cannot identify the part.
